What are the roles and duties?

  • The role of the Executive Oversight Committee (EOC) is to guide the ATP Project Team’s activities and decide what, if any, follow-up project will be authorized for implementation upon conclusion of the Discovery Phase at the end of July. 
  • The Project Team will work with a variety of stakeholders seeking input into the process without a predetermined technical solution in mind.  It will focus on business/functional needs through active involvement of the EOC and an emphasis on a formal requirements process.   The Project Team will closely follow industry best practices for requirements gathering in terms of constituency relationship management needs, technical assessments, and the creation of a gap analysis document.  This group will share its documentation on findings and proposed solutions with the University Advancement community via the Advisory groups, web site and via a SharePoint secure site. All groups within the community will have an opportunity to provide input and review the outcome.
  • The Project Team had been divided into the following sections:

Communication:

  • Prepare Advancement Community for the project activities.
  • Assist in developing questions for interviews, focus groups, and targeted surveys.
  • Create a survey instrument.
  • Publish External Web site
  • Document communication plan.

Requirements Team:

  • Define the approach for preparing targeted community for the requirements process
  • Test requirements approach with a pilot (10 people)
  • Make changes to the approach based on lessons learned from pilot
  • Conduct the in-person requirements gathering interviews and facilitate focus groups

Technical Assessment Team:

  • Identify all major technical system owners in the advancement area
  • Map out technical architectures for central systems
  • Identify widely used non-central technical solutions on all three  campuses

The Advisory Groups Role:

  • To provide an opportunity for all advancement stakeholders to be heard and to provide direct input, while minimizing the impact on their busy schedules
